How We Handle Your Calls

Who is answering?

An AI system. Each greeting identifies the assistant as a virtual assistant, and it never claims to be a person.

What does it collect?

Only what the business needs, such as the caller's name, callback number, reason for calling and preferred times. It is set up not to ask for details like health card numbers, dates of birth or payment card numbers.

What does it not do?

It does not give medical, legal or financial advice, and it does not promise anything the business has not approved. When a call sounds urgent, it flags it for the business and, for a life-threatening emergency, tells the caller to call 911.

Where do the calls go?

Each call's recording, transcript and summary appear in the business's private dashboard. Each business sees only its own calls. Apex staff can access call records to set up, support and improve the service.

Which companies are involved?

Our voice platform (Vapi), AI language and speech providers connected through it (for example OpenAI and Soniox), and our database and hosting providers (Supabase and Vercel). Some of them process information outside Canada, including in the United States. We do not claim any certification or that data stays in Canada.

Can a business or caller ask us to delete or export a record?
